Our solutions within My Member Software

  • Administrator can change member data such as account name, password, member role, registration date and cancellation date. A member does not see certain fields, such as cancellation reason and cancellation date.

  • Personal data such as address, date of birth.

  • Financial data such as invoices and bank account number.

  • Other fields, including the 75 possible custom variables (in this example the date field).

Association members can change their own membership details and add members

Member data changes frequently, which is a lot of work for the voluntary administrators of the association to keep up with: addresses, telephone numbers, e-mail addresses, bank account number for direct debit, new interests or function in the association cost large associations and clubs a lot of time to keep up with.

Our solution: With My Member Software, members can adjust a number of personal details online themselves. This is very easy and saves the membership administration time. Multiple management levels can also be implemented, which can administer groups of members.

In My Member Software, the association or club can save and change the following data per member:

  • first and last name
  • gender
  • company name, company department
  • street, house number, addition, postal code, city
  • telephone numbers mobile, work, private
  • email address
  • date of birth
  • function in the association, date of entry into
  • function, expertise, date of exit
  • termination date with reason for termination
  • authorization for direct debit
  • bank account number
  • payment method
  • type of membership and start date and end date
  • general interests, hobbies
  • comments and memo

Associations can indicate during configuration which variables should be visible for both administration and members.

It is also possible to have 75 variables added "custom".

This list is regularly updated, depending on what the customers need.

Collect contributions with a link to the accounting package

Your members pay a membership fee. To collect this membership fee, it is best to use the available links to online accounting packages; you can collect the membership fee cheaply and easily and have the entire administration in hand.

Members who do not have direct debit can pay by invoice or giro. The system has the option to charge extra costs per payment method.

  • SEPA xml bank file  is difficult to understand with all that secret language.

  • Excel file created from the seemingly incomprehensible SEPA xml files.

  • For each collection of the contribution, invoices are created. In addition to direct debit, members can also pay by invoice.

Export member data

The program Member Administration Online offers many options for editing data and for printing key figures and reports of your membership file. It is also possible to export your membership file to Excel, CSV file or OpenXML to continue working from there.

The export is useful if the standard reports are not enough for you. It is a complete export of all member data.

Intranet for closed groups

One of the possibilities in Joomla is an extensive intranet functionality. An intranet is a website where articles are shielded that are not intended for everyone, and are only available after logging in. Examples of such articles include the reports of the General Members Meeting (only for members), the reports of the board meeting (only for directors) and offers that are only made to members.

This information is shielded from the general website, with publicly accessible information. In general, there are three levels on an association website:

  • publicly accessible information (e.g. contact, general information, registration form)
  • information that is only accessible to members (e.g. Newsletters, Annual Reports, AGM Report)
  • information that is only accessible to directors (e.g. Board Meeting Agenda, Meeting Documents, List of Decisions)

Members and the board get access to the information after logging in with their own account and password, the same as the one they use to change their data in the membership administration.

Once set up, the webmaster simply has to choose the correct category for the article, such as "reports > intranet board" and the article will only be visible to the association's board members.

  • Create and manage groups that have rights. These groups correspond to the roles in the membership administration.

  • Create and make articles available to the appropriate group by setting the field access.

  • The possibility to log in for members (and of course also for board members) is at the bottom left. Now only the public part of the website is shown.

  • After a member has logged in, the menu item "AGM documents" becomes visible and those articles can be consulted.

  • The membership administration section also becomes visible so that member data can be managed.

This functionality is standard in the Joomla software, only one-time setup costs are charged when switching to an intranet.

Joomla is a Content management system so that you can easily manage the site (create, edit articles, create and edit menu items and add images).

With your member portal (or customer portal or student portal) as a basis, an app can be developed for smartphones such as Apple and for Android (Samsung, Xiaomi, Oneplus, Google Pixel) at low cost.
